Contact Us Early in Your Planning Process

We recommend allowing sufficient time for your project and, whenever possible, contacting us early in your planning process. This allows us to reserve time in the appropriate translator’s schedule and ensure the best possible turnaround time. We do understand that it is not always possible to plan everything, and urgent translation needs sometimes arise unexpectedly. In such cases, we respond flexibly and do our utmost to meet your requirements.

What needs to be translated?
Whenever possible, please send us the full text. This allows us to provide the most accurate offer or estimate of the cost and schedule. Translation time depends on the length, subject matter and difficulty of the text. 

Which languages
Please specify the source language and the target language(s) including any preferred language variant. For example, if the target group of your English translation is in the US you will need American English rather than British English. Is your Swedish translation intended for the Swedish market or will it only be used in Finland? In this case, Finnish-Swedish would be better than Standard Swedish. If you are unsure, we will be happy to advise you on the most appropriate variant for your audience.

What format is the document in?
Editable file formats, such as Word, PowerPoint and Excel, are ideal, but we also accept most other formats. In fact, Excel is preferred if your content is in tables, such as balance sheets. Translation tools support a wide range of formats, including html, json and idml, so it is always worth asking. PDFs can be converted to Word for translation, though a separate fee applies for this service. Sometimes documents, especially PDFs, include text in images and they may require extra work.

Any special instructions?
Tell us the purpose of the text and the target audience, as well as any preferences for translation style – for example, whether you want a word-for-word translation or a freer, more creative approach. We are happy to help you prepare clear instructions to ensure the final result meets your expectations. We may also contact you during the process to clarify points or confirm terminology.

How can I help the translation process?
Background documents, previous translations and terminology lists are all very useful, especially if you are ordering from us for the first time. Our translators carry out thorough background work, but they may not necessarily find all the relevant material. Providing reference materials helps speed up the process and ensures consistency with previous translations. Even small details, like established terms or product photos, can make a big difference in producing accurate and coherent translations. 

When do you need the translation?
Please provide your preferred deadline when placing the order. High-quality translations require sufficient time, so we recommend contacting us early to ensure the best possible turnaround. If an urgent project requires special arrangements or overtime, a surcharge may apply, but we always confirm any extra costs with you in advance.

How will the translation be delivered
Translations are usually returned by email in the same format as the original (Word, Excel, Pptx or idml), or as Word documents converted into body text for non-editable files (PDF, jpeg, etc.). Other delivery methods can be arranged on request. Official translations certified by an authorised translator are delivered on paper, but we can also send a scanned copy if needed.

Authorised translations
An authorised translation is legally valid and carries the same evidential value as the original document.

To request one, email us a scanned copy of the original document (e.g., certificates, trade register extracts or articles of association). The translator will attach this copy to the authorised translation. If the receiving authority requires the original document to be attached to the authorised translation, the original must be delivered to us.

Authorised translations are supplied as paper copies by post, stamped and signed by an authorised translator. If you would like a scanned copy by email as well, please let us know when placing your order.

Checklist for Clients

  1. If possible, please send us the text to be translated so that we can prepare an offer. Otherwise, let us know the number of characters (including spaces), so we can accurately assess the scope of the work.
  2. Specify the target language(s), and, if necessary, the language variant (e.g. British or American English, Finnish-Swedish or Standard Swedish).
  3. Let us know your preferred delivery deadline.
  4. If you have any supporting material relevant to the assignment, please provide it to assist the translator.
  5. When ordering an authorised translation, please indicate in advance if you would like a scanned copy by email.
  6. Please provide the material to be translated in an editable format (e.g., Word, Excel or Powerpoint). If required, we can convert files such as PDFs into Word format for translation for an additional fee.

Order Form

Send multi-file projects preferably as a ZIP package. For example, InDesign files (.idml + images + fonts) work most reliably this way. You can also send using email, WeTransfer, Google Drive or Dropbox.
